Property Management Administrator - Edmonton, AB

R.W. Gibson Holdings, a real estate company with properties in most major Canadian cities, is currently recruiting for a Property Management Administrator (PMA) for both commercial and residential properties in Canada, USA and Mexico.

The Property Management Administrator provides support to the Property Manager and is an integral part of the property management department. The PMA may act as a liaison between tenants, contractors, accounting and the Property Manager for specific property related issues.

The PMA is responsible for tracking, maintaining and updating all property-related information including regular reporting to management.

Key Responsibilities and Duties: 

  • Complete administrative duties for the company’s commercial and residential properties in Canada, USA and Mexico
  • Complete move-in/move-out inspections
  • Assist Property Manager in rent collection from commercial and residential tenants as required
  • Record and deposit all tenant payments in a timely fashion
  • Conduct full cycle A/P including invoice matching, batching, coding, and cheque runs
  • Utilize property management software (Spectra) to create and update work orders, generate reports, and schedule in-house and contracted work
  • Maintain property and tenant contact databases using property management software program (Spectra)
  • Assist Property Manager with furniture and housewares purchases as required
  • Provide updates and reports on a regular basis to Manager re: renters, contractors, and property/building information
  • File maintenance and organization
  • Local and/or day travel may be required
  • Other duties as assigned by Property Manager 

Qualifications: 

  • The ideal candidate must have a minimum of 2 years experience in a fast paced administrative role preferably dealing with commercial and/or residential properties
  • Must have full cycle A/P experience
  • Must have a valid driver's licence with acceptable driver's abstract
  • Experience working with Property Management Software programs (Spectra)
  • Proficient in Microsoft Office programs including Excel, Word, and Outlook
  • Excellent written and oral communication skills
  • Strong organizational and prioritization skills
  • High degree of accuracy and attention to detail
  • Demonstrated ability to manage multiple tasks with simultaneous deadlines and time lines
  • Strong background in customer service
  • Analytical and solid mathematical skills
  • Ability and desire to work in a fast paced and professional office environment
  • Proven ability to handle daily responsibilities and projects with minimal direction and/or supervision
  • Confidentiality and discretion required
  • Team player with a “can-do” attitude
